Tuition Course Terms and Conditions

Please read through our full terms and conditions for Hatch End Tuition courses.

1. Definitions

‘Child’ means the child who is registered for tuition;
‘Client’ means the parent or guardian of a Child registered for tuition;
‘HET’ means Hatch End Tuition;
‘Teachers’ means our qualified, DBS checked, trained teaching staff.

2. Parties

This agreement is between the Client and HET.

3. Timekeeping – Drop off and Collection

It is the Clients’ responsibility to ensure that the Child is at the teaching venue in time for the start of the lesson. It is not possible for the Teacher to go back over the start of the lesson for late attendees.

It is the Clients’ responsibility to pick their Child up on time at the end of the lesson.

If the Client arrives 5 minutes later than the agreed collection time for the Child, then HET will phone the contact number supplied.

If the Client arrives 10 minutes later than the agreed collection time for the Child, then the Client accepts that there may be a charge for the waiting time of HET staff, and if this is the case, will be informed via email.

4. Feedback and Information Evenings

Teachers are unable to meet with parents before or after lessons as classes are taught continually.

Feedback is provided as a combination of marked homework and reviewed class assessments. If the client would like further feedback on their child’s progress, they should contact HET by email as above.

Parents information evenings will be held at two points during the school year. Parents are encouraged to attend these in order to gain information on how we structure our lessons, homework and assessments. The meetings also provide information on our other 11+ services and on school applications.

5. Tuition Expectation

Your child will be expected to bring with them:

  • Books provided by HET
  • Completed homework
  • A pencil case containing: Pen, pencil, ruler, eraser, red pen, glue stick
  • Your child will be expected to complete their homework each week and hand it in on time
  • Parents will need to print out homework sheets for children to complete at home.

6. Parents Marking

Some of the homework (usually Maths, Verbal Reasoning and Mental Arithmetic) is to be marked by the parent every week, with the answer keys provided.

7. Payment

Payments for courses

The Client agrees to pay the fees for the relevant tuition year by means of a £150 (non refundable) deposit followed by the remaining fees in the form of monthly instalments, from the month of the child's start date to July of the following year, inclusive.

If payment is not made before our deadline for the relevant tuition year (whether joining at lesson one or any later lesson in the term), we reserve the right to offer the place to another Client.


8. Medical Conditions and Treatment

At the time of booking, the Client must inform HET of any medical conditions/allergies that the Child may suffer from. The Teacher will endeavour to take all possible precautions to make sure there are no exposures to any allergens, however please note we cannot guarantee an allergen free environment.

Any food brought to the session by the Child must be nut-free. There will be a break during which Children will be able to eat their own food at their own desk.

If the medical condition of a child potentially requires intervention from a staff member, the parent/carer should remain contactable and nearby to the session location for the duration of the session.

9. Changes of Sessions by the Client

If the Client wishes to change to another tuition session either on an ongoing basis or as a one off under special circumstances, they can change to another session as long as there is availability in that session (maximum 12 to a class). HET cannot take responsibility for Client changes or cancellations if there is no availability in other sessions.

10. Changes of Sessions by HET

Hatch End Tuition reserves the right to change or cancel the tuition session if necessary, at any time up to and including the tuition session date. Every effort is made to ensure that sessions run as timetabled in order to avoid disappointment and inconvenience.

In the event of a cancelled session by HET due to circumstances within our control, HET will refund the full cost of the cancelled session only, to the Client.

In the event of a cancelled session due to circumstances outside of our control, including but not limited to adverse weather conditions, natural disasters, collapse of buildings, epidemic, strikes, no refund will be given. We will however endeavour to offer alternative sessions wherever possible.

11. Termination by the Client

Termination by the client

If the Client wishes to terminate their child’s attendance at HET partway through the tuition year, they must give at least 28 day's notice in writing. The Client will continue to pay for any direct debit payments that are due within 28 day's of the notice date, whether their Child attends the remaining sessions or not.


12. Absence due to illness, including Covid-19

If a Child is too unwell to attend a session, including having symptoms of or testing positive for Covid-19, the Client should inform HET as soon as possible, and all efforts will be made to offer the next suitable session online, as long as there is availability.

In the case of testing positive for Covid-19, once the Child has completed their isolation period and has had a negative LFT test (in line with current government guidance), they can come back to their regular session. This policy shall be amended where necessary in accordance with changes to government guidance.

13. Data Protection

We will use the personal data that you give us to:

  • provide the session; and
  • inform you about similar products and services offered by HET
  • We may store personal data in hard or electronic form and it may be accessed by other members of the HET network. We will not give, or provide access to, personal data to any third party.
